What makes a fair comparison?
Compare both approaches over the same period, using comparable audiences, offers and reasons for contact. Decide in advance how long you will wait for replies. A monthly allowance must not be used as a daily sending volume.
Include research, preparation, review, CRM updates and the handling of incoming replies alongside writing time. Automated processes also require setup and ongoing review. Apply the same quality standards: Is the message relevant to the person? Is there a clear reason for contact? Are questions answered and refusals respected?

Worked example: count replies accurately
Hypothetical example, not evidence of Lisa's performance: You contact 100 different people within a defined period. By the evaluation date, also set in advance, 5 of those people have replied at least once.
5 contacts who replied ÷ 100 contacts messaged × 100 = 5% response rate.
Multiple replies from one person count only once here. Those five replies are not automatically qualified leads or customers: they may include questions and refusals. Record confirmed interest and sales separately. The assumed response rate is not an expected result from Lisa and does not tell you which approach performs better.
How to assess your own process
- Define your question. Decide whether to compare total handling time or the proportion of relevant replies. Define what counts as a relevant reply before starting.
- Create comparable conditions. Keep the period, offer, audience fit, reason for contact and handling of replies as similar as possible. Document differences you cannot control.
- Review the template and context. Use an actual reason for contact, such as requested material or an incoming question. Group membership alone does not establish interest in your offer.
- Record work and outcomes. Separate people contacted, replies, confirmed interest and customers. Record total time spent and any observed errors or unsuitable messages.
- Take over personally. Respond to individual questions. Align further messages with the conversation and stop contacting someone who declines.
- Interpret the results with their limits. Consider whether a difference could come from the audience, timing or message. A small sample offers clues, but does not establish a lasting advantage for either approach.
When does each approach fit?
Starting manually makes sense when you are learning what your audience asks or how people understand your offer. A small number of highly individual conversations can also be handled one at a time.
